The “Knowledge” section of Brain AI is where all data, resources, and contextual information for your workspace are stored. It is the central repository that your workspace’s AI Helpers draw from when generating content or performing tasks. This information cannot be shared amongst workspaces, as each workspace has it's own Brain AI with it's knowledge section.

Only content that is explicitly saved in “All Knowledge” — as snippet, link, file, image, or video — is consistently referenced by Helpers. Integrations connected to your workspace do not automatically feed their data into “Knowledge.”

Thus, “All Knowledge” serves as the curated, controlled memory and knowledge base for your brand, business, projects or personal workflows inside Brain AI. Learn how to use Brain AI knowledge section.

Supported types of data

In “All Knowledge,” you can store information in several supported types / formats:

  • Textual snippets — for brand guidelines, business philosophy, recurring processes, internal rules, etc.

  • Public web-page links (URLs) — any publicly available URL; saving the link gives context to Helpers.

  • Files, up to 20 MB each. Supported formats include:

    • Images: JPG, JPEG, PNG, GIF, WEBP

    • Videos: MP4, AVI, WEBM, MOV

    • Spreadsheets: CSV, XLSX, XLS

    • Text documents: TXT, PDF, DOCX, ODT, MD, JSON, HTML/HTM, XML — as long as the file contains copyable text so Brain AI can read it.

Other file types are not supported. If you need a different format - fill in a feature request!

Best practices for effective use

To ensure efficient, accurate, and sustainable knowledge management inside Brain AI, it's recommended to follow these practices:

  • Use manual saving for critical information: e.g. brand guidelines, company policies, standard procedures, legal text — where wording and precision are important.

  • Use Helper-assisted saving for quick notes or summaries: ideal for transient info, meeting notes, draft ideas, or informal context.

  • Verify summaries when using Helper saves: ensure all needed details are captured. Summarization can omit nuance.

  • Structure entries clearly: use descriptive titles, organize by topic, tag with labels or consistent naming, especially for files/images. This helps searchability.

  • Use filters and search when needed: if you have many entries, use keyword search + filtering by type/privacy to quickly find the relevant one.

  • Regularly audit and prune: remove outdated or irrelevant knowledge to avoid confusion or outdated context being used by Helpers. Because Helpers rely on what’s stored in Brain AI, outdated info can lead to incorrect or obsolete outputs.

  • Keep separate business information separate: have multiple workspaces for different businesses or clients so that information does not get mixed up.

Limitations & What to Keep in Mind

  • Integrations (e.g. if you connect external accounts or tools) do not automatically feed data into “All Knowledge.” You’ll need to manually save or upload relevant content.

  • Only certain file types and sizes are supported (see above). Unsupported formats will not be parsed.

  • When using Helper-assisted saves (summaries), there’s risk of losing detail — not good for critical data.

  • Deletions are final; there is no undo once you delete a knowledge item.
