Learn about Vizzy's ability to join your online meetings, transcribe, and summarise them.

Meeting Notetaker automation enables Vizzy to actually be your autonomous virtual assistant! This functionality allows her to:

  • Join your online meetings to record, transcribe, and summarise them

  • Extract action items discussed

  • Send meeting summaries and action items to all attendees after the meeting

And she will do it in the language you have spoken without any intervention on your side!

Why use our Meeting Notetaker?

If you ever needed an assistant for time-consuming tasks - Vizzy can take tasks related to meeting management off your hands. Our Meeting Note Taker will ensure:

  1. Online meetings are recorded and stored for 7 days, even if they were added to your calendar 10 minutes ago.

    Note: Vizzy might miss an ad-hoc meeting, she reviews your calendar every few minutes and only joins meetings when they have not started yet.

  2. Online meetings are transcribed and includes both timestamps and speakers.

  3. Meetings are summarised and key action items are extracted.

  4. All attendees that joined the meeting receive meeting's summary and action items right after the meeting - no intervention or prompting is needed.

  5. You can enjoy the functionality speaking in any language - Vizzy will auto-detect and adapt.

Vizzy will be your versatile, autonomous and adaptive assistant!

How does Meeting Notetaker work?

  1. You set up meeting notetaker automation and connect your Google Calendar. This allows Vizzy to access your future online meetings.

  2. When a meeting just starts and at least 1 person connects to it - Vizzy asks to connect to a meeting.

    Note: you have to accept her request in order for her to join, otherwise she will not be able to record and summarise the meeting.

  3. Once accepted to the meeting, Vizzy determines the language you're speaking in, transcribes the meeting in that language and records it - all at the same time.

  4. Once the meeting is over, Vizzy summarises the key information and provides a to do list in Meeting Notetaker's section dedicated specifically for that meeting (https://app.sintra.ai/automations/meeting-note-taker -> click "recent" -> click meeting summary that is named the same as your meeting).

  5. Meeting's summary is sent to everyone who attended the meeting; however, it is not auto-sent to those who did not join. However, you can easily share the meeting's notes by sending a link to people who weren't able to join the meeting.

How to use our Meeting Notetaker?

Setting up Meeting Notetaker

  1. Go to "Automations" -> "Meeting Notetaker" (https://app.sintra.ai/automations/meeting-note-taker)

  2. Pass the introduction and connect your google calendar

That's it! Vizzy will review your calendar and ask to join to all future meetings.

Locating meeting summaries

Meeting summaries, recording and transcript are located in "Automations" -> "Meeting Notetaker" -> "[name of the meeting]". If you hosted or attended the meeting - you will also receive an email from Vizzy, reminding you of the summary. However, if you did not attend the online meeting - you'll need to ask for a summary link from one of the attendees.

When you have entered a meeting's summary - you can perform a few actions with it!

Sharing captured meeting information

You can easily share meeting transcript, summary and recording all together with absolutely anyone - whether they are a Sintra AI user or not. Simply head to the summary page you want to share and choose one of 2 possible ways:

  1. Copying the URL of the page;

  2. Clicking the "copy" button at the top-right of the page.

Keep in mind that in order to share captured meeting's information - you have to first locate the specific meeting notes first ("Automations" -> "Meeting Notetaker" -> "[name of the meeting]").

Anyone that has this link will be able to access the information captured - there's no way to limit the availability. However, this also means that you can share this with people that are not using Sintra and that are not members of your workspace!

Viewing meeting's recording

To view the meeting's recording head to "Automations" -> "Meeting Notetaker" -> "[name of the meeting]" and click on the recording. Keep in mind that the video recording is stored only for 7 days - after this time, the recording is deleted permanently.

If you wish to download the recording:

  1. Hoover on the video;

  2. Click on the three dots in the bottom-right corner of the video;

  3. Click "Download".

You can copy the summary by clicking the "copy" button.

Interacting with action items

If during the meeting you have discussed anything that needs to be done, it will be extracted as action items. If you have not done that in the meeting or that has been too ambiguous, no action item list will be provided. However, if you have an action item list, you can do the following:

  • Checkmarking - anyone with access to the meeting summary can mark a to-do item as done.

    Note: you will not be able to see who performed this change.

  • Copying - anyone with access to the meeting summary can copy the to-do list by clicking the "copy" button. The text will be copied in Markdown format.

Interacting with meeting's transcript

The transcript allows reflecting back on information quickly. Anyone with access to the meeting summary can access and interact with the transcript.

  • Search - by using the search bar, you can look for information by attendee's name or keywords they've mentioned.

  • Copy - Copy the full transcript with timestamps and names by clicking the "copy" button. The text will be copied in Markdown format.

Checking meeting's attendance

The list of attendees will only list out members that have actually joined the meeting. If someone was invited to the online meeting but they did not join, they will not be listed in the attendee list.

Meeting Notetaker limitations

  • No other auto-actions supported

  • No connection to Helpers or their memory

  • No ability to save to Drive or Brain AI

  • No ability to retain meeting recording for more than 7 days

  • No ability to not record the meeting - if you decline Vizzy from joining, she will not record the meeting but it will not be transcribed or summarised

  • Only Google Calendar is supported, Outlook Calendar support is planned for the future; however, there's no ETA for it

  • No ability to make the meeting link available to limited amount of people - anyone with link will be able to review the materials

  • No manual ability to prompt Vizzy to join a meeting
