Meeting Notetaker automation enables Vizzy to join your video meetings as a visible participant, recording, transcribing, and summarising everything in real time — so you can stay present and focused without missing a thing.

Vizzy appears in your meeting as a named participant (default name: "Vizzy | sintra.ai meeting assistant") — all attendees can see she’s there.

Limited Beta Access

As this is an early beta release, the feature is currently available to a limited number of users. We’ll gradually expand access as we refine and improve the experience.


Supported Platforms

Meeting Notetaker detects the platform from the meeting URL and handles each accordingly. Supported platforms include:

  • Google Meet

  • Zoom

  • Microsoft Teams

  • Webex

  • Other generic video calls


Setup (Step by Step)

Go to Automations → Meeting Notetaker in Sintra to get started.

  1. Introductory screens explain the feature (with a video demo)

  2. Connect your Google Calendar — mandatory so the system can detect upcoming meetings with video links

  3. Configure your settings:

    • Bot name — customizable display name (default: “Vizzy | sintra.ai meeting assistant”)

    • Which meetings to join — “All meetings,” “Only meetings I organize,” or “Manual only” (no auto-joining)

    • Email summary recipients — “All participants,” “Only me,” or “No emails”

    • Bot appearance — animated video avatar or simple static avatar


What “Admitting Vizzy” Means

When a meeting starts, Vizzy requests to join as a regular participant. Depending on the platform’s settings (e.g., Zoom waiting rooms, Google Meet knock-to-join), the host or a participant may need to click “Admit” — exactly like admitting any other attendee. You can also decline Vizzy’s join request if you don’t want that specific meeting recorded.


During a Meeting

  • Vizzy joins as a visible participant — all attendees know she’s there

  • Records the full video

  • Transcribes in real time with speaker identification


After a Meeting

  • Full video recording saved and accessible in Sintra

  • Complete transcript with timestamps and speaker names

  • AI-generated summary including key points, action items, and participant list

  • Email summaries sent based on your distribution setting

Find everything under Automations → Meeting Notetaker → [meeting name].


Using Meeting Summaries

  • Share notes by copying the link — anyone with the link can view them, even non-Sintra users

  • Download recordings from the summary page (available for 7 days)

  • Copy summaries, transcripts, or action items in Markdown format

  • Check off action items (visible to anyone with access)

  • Search transcripts by attendee name or keywords to find key moments fast

Tip: For easy sharing, just send the summary link to anyone who missed the meeting — they don’t need a Sintra account to view it.


Privacy & Manual Control

  • Decline Vizzy at the door for any specific meeting — she won’t record it

  • “Manual only” mode disables all auto-joining

  • Full control over who receives email summaries


Limitations

  • Recordings and transcripts are deleted after 7 days

  • Anyone with the summary link can access the info — there’s no way to restrict access to specific people
